Getting Started

Welcome to Venvy! Here is how to navigate your new WhatsApp commerce dashboard and get your shop ready for customers.

Understanding the Dashboard

Your dashboard is divided into key areas accessible via the top navigation bar:

  • Dashboard: A high-level overview of your sales, pending orders, and payout balances.
  • Setup: Where you configure your store details, automated WhatsApp replies, delivery fees, and notification numbers.
  • Products: Manage your inventory, pricing, and images.
  • Orders: Track and manage customer purchases from cart to delivery.

Connecting Your WhatsApp Number

Before customers can shop, your store must be mapped to a WhatsApp number. Our onboarding team handles the technical Meta API connection, but you can manage your automated greeting messages inside the Setup tab.

Managing Products

Your product catalog syncs automatically with your WhatsApp storefront. Keep it updated to ensure customers see accurate pricing and availability.

Adding a New Product

To add a product, simply click the + Add Product button in the top right corner.

  • Image: Upload a clear, square image. This helps your product look great in the WhatsApp catalog.
  • SKU: A unique code for your item. E.g., SHOE-BLK-M.
  • Description: Keep descriptions concise but informative, as customers read these on mobile screens.

Editing & Stock Management

Go to the Products tab and click the Edit icon next to any product to update its details. If an item sells out, you can archive or delete it so it’s removed from the WhatsApp storefront immediately.

Orders & Fulfillment

When a customer completes checkout on WhatsApp, the order appears instantly in your dashboard.

Order Life Cycle

Orders typically move through the following stages:

  • Pending: The order has been placed but payment is not confirmed, or it hasn't been prepared yet.
  • Paid: The payment gateway has confirmed the transaction.
  • Shipped / Fulfilled: The package has been given to the courier. You can enter tracking details in the order view.
  • Cancelled: Order was voided by you or the customer.

Processing an Order

Click on an order row to view the customer's delivery address, cart contents, and contact details. Use this view to mark the order as shipped. Once tracking details are added, an automated WhatsApp message is fired off to the customer updating them on their delivery.

How Customers Pay

When a customer checks out on WhatsApp, they are securely redirected to our Payfast integration. Supported methods include Credit/Debit Cards, Instant EFT, Zapper, and SnapScan.

Managing Refunds

If an order needs to be cancelled and refunded, you can initiate it via the Refunds tab. Provide the Order ID and reason. Please note that refund processing times depend on the customer's bank (typically 1-3 business days).

Payouts

Your accumulated payouts (minus transaction fees) are processed on a scheduled basis. You can view your current payout balance and history on the main Dashboard screen.

South Africa Privacy Policy

1. Introduction
Venvy ("we", "us", "our") is committed to protecting the privacy of our merchants and their customers. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA").

2. Information We Collect
We operate as an operator (processor) on behalf of you, the merchant (the responsible party). The data collected through the WhatsApp commerce integration includes:
- Customer Data: WhatsApp phone numbers, chat history, names, and delivery preferences (such as chosen Courier Guy locker locations).
- Merchant Data: Business details, banking and PayFast credentials (facilitated securely via OAuth or API connections; we do not store full card info), contact email, and owner phone numbers.

3. Use of Personal Information
Customer data is strictly used to facilitate the e-commerce transaction on your behalf. This includes:
- Processing orders and managing carts within WhatsApp.
- Generating payment links via PayFast.
- Creating waybills and tracking shipments with The Courier Guy.
- Sending automated transactional updates (order confirmed, out for delivery).

4. Data Sharing and Third Parties
To provide our service, we integrate with specific compliant third parties:
- Meta (WhatsApp Business API): For message transmission.
- PayFast: For secure payment processing.
- The Courier Guy: For generating waybills and lockers routing.
We do not sell, rent, or trade your customers' personal information to any third parties for marketing purposes.

5. Data Security and Retention
We implement appropriate technical and organisational measures to prevent the loss, damage, or unauthorised access to personal information. We retain transaction records as legally required for financial auditing purposes (typically 5 years in South Africa), after which they are securely archived or destroyed.

6. Your Obligations as a Merchant
Under POPIA, you act as the "Responsible Party". It is your responsibility to ensure you have obtained the necessary consent from your customers to engage with them on WhatsApp and process their data for fulfilling orders. Venvy provides the platform (as an "Operator") to execute these transactions securely.
